Real Time Scheduling
TAM's Real Time Scheduling feature allows you to send a "booking link" to applicants, for the purpose of scheduling appointments/interviews based on open slots in your calendar.
This feature may entail a nominal monthly fee, based on your TAM package. To check on current pricing go to Setup > Integrations. You can turn on/off this feature there.
First, your calendar must be synced with TAM to allow TAM to read/write from your calendar. See our article on Calendar Syncing for more info.
Once the Real Time Scheduling feature is enabled you will see the Real Time Scheduling button above the calendar on any's applicant's page.
Clicking on Real Time Scheduling brings up this menu:
- You can load your message from any email template.
- Subject of your message.
- Where the appointment/interview will be held.
- The length of the appointment.
- The starting date range you are allowing the applicant to choose from. If you want the interview to take place within the next week then select a one week range.
- The ending date range.
- You can (optionally) require a buffer between the time an applicant can schedule an appointment and the time of the appointment. This prevents applicants from scheduling appointments at the last minute. For example, if your working hours are 9:00 AM to 5:00 PM and you set a buffer of 4 hours, then the latest an applicant could select a 9:00 AM appointment from your calendar would be 1:00 PM on the business day before (4 working hours in advance).
- These are your working hours. Each TAM user can set their own working hours in this menu. To change your hours click on the Change link. TAM will not allow the applicant to select any interview slots outside your working hours.
- Your message to the applicant, usually loaded from the email template.
- Normally you would select your calendar to be used, but a TAM user can make requests on behalf of other users, and therefore would not check this box.
- Any other TAM user who has their calendar synced can be added here. If multiple users are added then TAM will look for common open slots on all calendars.
- The applicant will always be the single invitee.
- Attachments can be sent to the applicant if desired.
When Send Request is hit the applicant will receive an email including your message, with the booking link added to the bottom of the email by TAM.
Clicking on the link brings up a page where the applicant can choose a date from the range you allowed.
Clicking on a date then allows choosing a time.
As we specified a one hour slot, TAM will look at your calendar, in real-time, for any available one hour slots during your working hours. Once the applicant selects a slot, you will receive an email notifying you of the time, and the appointment will be added to your calendar.
The applicant will also receive a confirmation email which includes a link where they can cancel the appointment if needed.
In order for this feature to work properly you will of course need to keep your calendar up to date. You should schedule any busy times, including lunch breaks, other breaks, and even buffers between meetings.
