Scheduling an appointment and sending calendar invites
You can schedule an appointment from within TAM. This may be done from your Desktop or from any applicant's page. Any appointments scheduled from within TAM will appear on the TAM calendar. In addition calendar invites can be sent to any personal calendars outside TAM, such as Outlook or Google Calendar.
From your Desktop simply click on any date/time on the Calendar to bring up the Appointment popup. On the applicant's page click on the calendar icon.
- You can load the email from any email template, or just enter the subject (What) and Description by hand.
- Enter any information as to the place, date and times of the appointment.
- The Description will be the body of the email sent out.
- You can invite an applicant when the appointment is launched from an applicant's page. You can also invite yourself.
- You can invite any TAM users from the pulldown list, or just type in any email address. Emails must be separated by ','.
- The entire list of invitees will be displayed here. This field can be edited to add/delete invitees.
- Attachments can be added to the email. If on an applicant's page you can also add any of their attachments (resume, employment application, etc.).
- Clicking Save & Send Invites will save this appointment as well as sending calendar invites to all invitees.
NOTE: some calendar features do not work unless you are using a "modern" browser. If you use Chrome, Firefox or an Apple device you're OK. If you use Internet Explorer as your browser you need to be on IE 10, IE 11 or Edge.
Here is an example of the email that will be sent. All appointment information will be included in the body of the email. This is useful as many applicants don't use calendars. For those who do, or for any TAM users you invite, they can access a calendar invite by clicking on the appropriate link (Outlook or Gmail).
Each invitee will also have the option of accepting or declining the invitation using the thumbs-up/down links.
If you are using TAM's two-way calendar sync, and you have given TAM access to your calendar, you will not receive an email. TAM will automatically place the event on your calendar. For any other TAM user you invite, who has also given access to their calendar, the event will not be placed on their calendar until they Accept the invitation. If the applicant declines the invitation TAM will remove the event from all calendars.
