Creating an online Application for Employment
TAM offers an online Application for Employment. This is an optional feature and is completely separate from the pre-screening forms used when applicants apply for a position.
The purpose of the Employment Application is usually to 1) require the applicant to provide information sufficient to demonstrate that he or she is legally permitted to be employed, 2) require the applicant to provide information regarding relevant skills, education, and previous employment, 3) require the applicant to disclose any criminal record, and to provide information sufficient to enable the employer to conduct an appropriate background check, and most importantly 4) require the applicant to initial that they have read and understand crucial items, such as "this is not an offer of employment", "employment is at-will", "I agree that I have completed this application myself and that all items are true and correct", etc. You may also use the application as a substitute for applicants who may not have a resume.
We highly recommend using pre-screening questions to gather information used for initially screening applicants. Information gathered through pre-screening forms is displayed on the applicant's page in TAM, is displayed on the Applicants' Table allowing sorting and comparisons with other applicants, and can be searched using TAM's advanced Search feature. The employment Application, on the other hand, is displayed as a pdf file and is not as easily searchable.
Here is a partial example of a completed employment application displayed on an applicant's page:
The Employment Application can be setup under Setup -> Application for Employment.
- 1 & 2: TAM supports multiple employment applications. For example, you may have separate applications for internal applicants (employees) and external applicants, or an educational institution may have separate applications for faculty and staff. Multiple applications must be configured by TAM Support, and in that case items 1 and 2 will allow you to save/load each application. These items will not appear if you have a single application.
- 3: When making changes to your application this link allows you to preview the final pdf version.
- 4: There are several ways in which you can use your application.
- Our recommendation is not to have every applicant complete an application when they apply. Completing an application is a lengthy process and some applicants will drop out rather than complete the application. The alternative is to wait until an applicant reaches a given step in your recruiting flow, for example, prior to an in-house interview. At that point you can manually send a request to the applicant to complete the application, or you can use TAM's Event Triggers to automatically send this email when any applicant reaches a designated workflow step. For this method use option 1.
- If it is necessary for your recruiting workflow to request an application from every applicant, use option 2. You have the choice of making the application optional or required. With this option the applicant will be directed to the application page immediately after completing the pre-screening form.
- You also have the choice of requesting applications only for designated positions. If this option is selected then you will choose for each position, when creating/editing that position, whether an employment application is to be used. You will still be able to make it optional or required.
- Finally, you can have TAM send applicants an email requesting that they complete the application immediately after they apply. In this case, once the applicant completes the pre-screening form and the (optional) EEO data, they will be sent the email inviting them to complete the employment application. They are considered an applicant by TAM whether or not they complete the application. Once they do complete it the recruiter for their position will receive an email notification. NOTE: this option works well if you're using the Indeed Apply feature but still want applicants to complete the full application, which cannot be done through Indeed.
- 5: You can customize the email sent to the applicant when requesting an application. (This email is only used when sending a request after an applicant has already applied).
- 6: Applicants are normally sent a copy of their application, but you can disable that here.
The TAM online Employment Application is for the most part a "one size fits all" form and we do not have the ability to customize the content of your application. You can use pre-screening questions or create a custom form to add any needed questions.
You can customize your company's Application by checking on/off those items that you wish to appear on the application. Select "Use" to place an item on the Application, select "Require" to require that the applicant complete that item. Example:
