Position Approvals Flow

TAM supports a workflow that allows routing new positions through an approval process before it can be posted.  This process allows hiring managers to create positions as well as administrators and recruiters, although only users with admin/recruiter privileges can post positions.

To enable this feature go to Setup -> Other Company Settings, and select "Enable the Position Approval process".  This process can only be setup by an administrator.

 

 

To create an Approval Flow go to Positions, Position Approvals.

1.  You can enter up to 10 approvers.  The pulldown allows you to select any user in TAM, and it will populate their name and email.  The last approver must be the admin/recruiter who is expected to post the position.

2.  You can also select someone who does not have an account in TAM (such as a senior manager) by typing in their name and email.

3.  If you are allowing hiring managers to create positions you must assign them to an approval flow.  Use ctrl-click to select multiple users.  For admins/recruiters you can assign an approval flow if you wish, but they have the access to change the flow when they create a position.  Hiring managers do not have this access; they are forced to use the approval flow you assign them.

4.  You can enable reminders to be sent (by email) every day that an approval is waiting for any approver.  The reminders will be sent to the position creator as well as the approver.

5.  Save each flow with a different name.  You can create as many flows as are feasible.

6.  If you are going to use only one approval flow then mark it as your default.  It will then be assigned for every new position.

You can delete an approval flow by clicking on the red x next to the name in the drop down.

 

Once the Approval Flow(s) are setup they will be applied whenever a new position is created.  Again, hiring managers cannot change the flow by admins/recruiters can for each position.

When a hiring manager or recruiter creates a new position their only option is to submit it for approvals.  An administrator can override the approval process.

Once the position is submitted the first approver will receive an email with a link to a "Approve/Reject" page.  This page does not require a TAM login.

 

Each approver has the option of Approving or Rejecting the position, as well as entering notes.  If the position is approved it is routed to the next approver in line.  If rejected it is returned to the originator.

 

 

Once all aprovals are complete the position creator as well as the admin/recruiter will be notified and the position will be enabled for posting.

 

In addition the approval history will be maintained in the position's notes.
