Advanced Searches

TAM provides a powerful Advanced Search feature which allows you to search for applicants or non-applicants anywhere in your database.  To access this feature go to Talent Pool, Search.

To create a search simply select the items you are interested in.  Most of the search parameters are optional, so just leave the rest blank. You can combine any search parameters you wish.  TAM will tell you if it doesn't have enough parameters to run the search. All search parameters are case-insensitive (a search for "ABC" will match "ABC", "abc", "Abc", etc).

  • Under "Select from Talent Pool" you must select either Applicants or Non-Applicants, or both. For Applicants you can ignore inactive applicants, and for Non-Applicants you can ignore archived.
  • You may select the position(s) to search from the drop-down, or enter a position keyword. For example, entering "clerk" will search all positions with "clerk" in the job title.  By default TAM will search All Positions (if applicants are chosen).

You can filter applicants and non-applicants by Custom fields, Date range, Distance (straight-line) from job, Hired, Incomplete applicants, Keyword search, Prescreening responses, Ratings, Red Flagged applicants, Source, Tags, and Workflow status. These filters are "inclusive", meaning an applicant must match all selected filters. If you select "Hired", "Distance from job" less than 10 miles, and "Rating" of 4 or better, then the search will return only applicants who meet ALL of these criteria.

 

If you're using custom applicant fields (created under Setup -> Other Company Settings) you can use them to search applicants with values in those fields. For example, to search for a specific security clearance level for recent applicants:

Date range is used to limit your search range.  You can select any of the date range from the drop-down  -or-  enter an exact date range using the calendar select boxes.  The date range uses the date at which the applicant applied or a non-applicant's information was entered in TAM.

 

Distance from job is used to find applicants within a given straight-line distance of any of your company locations.
NOTE: All distance measurements provided by TAM are "straight-line" or "as the crow flies". Driving distances may vary significantly from this measurement.

 

Hired allows you to generate a table showing all applicants marked as Hired when you filled positions.  By entering a date range you can generate a report on all applicants hired by pay-period, quarter, etc.

 Using the configuration tool you can format the display of the data before creating a final report to export to the clipboard (for insert into Word, email, etc) or Excel.

 

Incomplete applicants can be used to find any applicants who started the process of applying for a position but did not complete your process.  If you require a full employment application from all applicants, then applicants who complete the pre-screening form but do not complete the employment application will be marked as Incomplete.  This group will also include applicants who used the Apply with LinkedIn or Indeed Apply buttons but did not complete the process.

 

Keyword search allows you to search through all applicants' and non-applicants' records for any keyword or combination of keywords.  TAM will search through resumes, cover letters, employment applications, applicant's messages or your notes on that applicants.

  • "With all these words" will search for keywords in all the applicants' information. Enter any number of keywords with no punctuation. For example, to look for a CPA who has experience with Great Plains software you might enter "CPA Great Plains" (without the quotes), and the search will return any applicant with all three words included. (This is an AND search in boolean terms).
  • "With any of these words" will return applicants matching any given word. "Java Ruby Perl" will return all applicants with Java OR Ruby OR Perl included.
  • "With the exact phrase" will return applicants matching an exact string of words, such as "Human Resources Director".
  • "With none of these words" will return applicants without any of the keywords included. If you don't want to hire anyone from your two biggest competitors, ABC Corp and XYZ Corp, just enter "ABC XYZ".
  • The boolean search box supports these boolean operators: AND, OR, NOT, (, ). The operators can be upper- or lower-case. You must use "" for matching phrases. Example: ("Human Resources Director" OR "HR Director") AND NOT ABC. You cannot use a boolean search with any of the other keyword searches; the boolean search will override.

 

You can search for all applicants who answered any combination of prescreening questions. For example, if you get a request to find an engineer with .NET experience you might search for all applicants who applied to the below question for some period of time.

This will result in a table where you can use the column sort/filter features to narrow down your search.

Ratings lets you search for applicants given a range of subjective ratings, if you use that feature.

 

Source allows you to search for applicants who came from a particular job board, from your company web site, employee referrals, etc.  You can select multiple sources by using ctrl-click.

 

Tags can be used to search for any Tags you've assigned to applicants.

 

Workflow status allows searching for applicants based on their status (or workflow step).  You can search for all applicants currently active at a step, and/or those who've failed a step, and/or those who've been closed at a step.  You can use ctrl-click to select multiple steps.

 

Timeline can be used to add additional columns to the Applicants' table which will display the date each applicant reached each workflow step. (note: turning on this option for a large group of applicants may take several minutes to execute, as there is significant data to retrieve from the database).

Reports can be saved and then loaded later to run.  In addition TAM will always save your latest report setup.
